Part Time Administrative Assistant

The prime role of the Administrative Assistant is to provide support to the Family Department to enable the Solicitors to operate at optimum efficiency. This will include, but will not be limited to, the main responsibilities given below.

The Administrative Assistant is expected to use a high degree of self-management and initiative and to maintain a high level of confidentiality.

Main Responsibilities

  1. To attend to clients/contacts in person, on the telephone and via email to provide support in a professional and friendly manner in keeping with the firm’s standards for client care.
  2. Maintain the archive system for closing both electronic and physical files.
  3. To prepare mail and enclosures for despatch.
  4. To maintain and update the case management systems.
  5. To answer the telephones promptly, taking messages and following up where necessary.
  6. Controlling the diaries, organising to do lists and flag up any issues needing attention.
  7. To undertake any specific training when required to do so and overall to have a responsibility towards self-development.
  8. To be responsible for maintaining accurate time recording on client files, and uploading/downloading documents onto the HMCTS court portal
  9. To manage legal aid requests / applications via the Legal Aid portal

Required Skills:

  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Excellent organisational and time management skills
  • Strong communication skills
  • Ability to work independently and as part of a team

Desired skills:

  • Experience as an administrative assistant or similar role
  • Familiar with Legal Aid including working on the Legal Aid portal and the HMCTS court portal system
  • Familiar with legal aid contract requirements and procedures
  • Understanding of the Accounts rules

Office: Glossop
Working Hours: Part Time – flexible working patterns will be considered however working pattern must include working on Monday and Friday
Holidays: 23 days plus bank holidays (pro rata) with the opportunity to increase days with service
Salary – negotiable depending on experience
